EEOAC PROGRAMS SUBCOMMITTEE MINUTES

October 18, 2000

 Participants:  Al Coan (Chair), Nancy Lo, Debra Losey, Patricia Mason

 Al Coan called the meeting to order in the small conference room, Southwest Fisheries Science Center, La Jolla California at 9:00 AM.  Patricia Mason participated via a conference call.  The agenda (items I-III in this report) was approved and the subcommittee moved to discussions of the agenda items.

I.  EEOAC meeting briefing:

 Since two of the subcommittee were unable to attend the last EEOAC meeting,  Nancy Lo briefly covered topics discussed at the meeting.  Nancy stated that the needed 10 members were not present at the beginning of the meeting so the meeting was held informally.  Al Coan asked whether the SWR EEOAC Website was cleared and released by September 1. Nancy said that clearance had not been received and that Rob Bistodeau was not there for further clarification.    

II.  Workplan Progress Reports:

Awarding EEO Efforts Workplan

Al Coan noted that no award suggestions have been posted to date.  Our plan was to include a section on the ability to suggest awards through the EEOAC website with the email announcing the EEOAC Website.  However, since the website was not released and since October and November is typically the time when the Center usually hands out awards, Al will put together a separate email this week to the SWR/SWC staff to make them aware of the awards suggestion procedures available on the website.  Before doing so he will check wit Rob Bistodeau to make sure that the staffs have access to the page.

Intern Workplan:

Nancy Lo noted that the internship program will start in January, 2001.  Nancy said that the wording of the workplan will be changed to give students more flexibility in the hours worked during the school year.  Nancy noted that the new Regional Director, Rebecca Lent, is very supportive of the plan.  Tim Price was to ask Rebecca if any extra funds could be made available for the Center to also hire an intern.  While Tim felt that this was unlikely he agreed to bring it to Rebecca’s attention.  Nancy noted that two other items need to be addressed before January, 1) a letter from Rebecca Lent to all SWR supervisors to announce the intern program needs to be sent out soon. (This letter was originally drafted by Al Coan and was e-mailed to Tim Price at the end of June.) 2) we would like to know if funds are available for the program in 2001.    

Outreach Workplan

Debra Losey reported that she received some Sea Grant slides, teachers guides, and a video that can be made available for presentations.  Two slide sets are on coral reefs and cost $25 each. Another slide set is from USC Sea Grant and consists of 5 sets at a cost of $100 for the entire package.  Al, Nancy and Debbie will review the slide set entitled “Dimensions of the Sea,” on October 23.  The slides can also be viewed on website www.usc.edu/org/seagrant.org.

 Debbie contacted NOAA for 200 rulers to distribute to the regional and center offices and is still waiting for a reply.  She is working on asking for volunteers to video tape or take digital pictures of dolphin or shark dissections or other scientific activities that could be used as resources for presentations and to contribute posters (jpeg files) that could also be used.

Al thanked everyone for participating.  The next Programs Subcommittee meeting will be held on November 15, 2000, at 9:00 AM.  The meeting closed at 9:30 AM.
